The contents of your documents never leave your network
Diwink records who printed, where, how many pages and when. Never what was printed.

What Diwink records, and what it never records
To apply your rules and report on them, Diwink needs to know who prints, where, how much and when. Nothing more.
Recorded for each print job
- Who printed: the user and their Windows account
- From which PC, to which printer
- How many pages: copies, colour, double-sided, paper size
- When: submitted, decided, finished
- The decision: allowed or refused, and why
Optional: the document’s name
- It can tell what a document is about, so it is off by default on Diwink Cloud (Settings › Printing). When it is off, the PCs send no name.
Never recorded, never sent
- The contents of documents: text, images, files
- A copy of the documents printed: Diwink archives nothing
When a printer’s driver does not report the number of pages, the agent counts them on the PC itself, then deletes its copy at once.
Diwink also keeps what you set up in it, the requests, the alerts and the audit log, and the PCs send their technical details (Windows version, print queues, printer status). The privacy policy lists it all.
Where your data is kept
Diwink Cloud
- Hosted by Fikra Systems
- One database per organisation
- Regular backups, kept for 30 days at most
Diwink Server
- On one of your company’s servers, with its own database, reachable from that server only
- A copy of the database every night; the last 14 are kept
- Fikra Systems receives only the server’s identity and daily counts: never who printed, or what
- Without internet access, the licence is activated offline: see Diwink Server
Fikra Systems’ back office receives from Diwink Cloud each organisation’s status, owner, plan, billing details and daily counts: never the print history.
How your data is protected
Encrypted in transit
Browsers and PCs reach Diwink over HTTPS only. Diwink Cloud needs no inbound access to your network: the PCs call it.
Secrets encrypted, passwords hashed
Passwords are kept only as hashes. Secrets such as the Active Directory account’s password are encrypted, and the panel never shows any of them again.
One database per organisation
On Diwink Cloud, each organisation has its own database. A request that names no organisation is refused, never guessed.
Roles and permissions
Every action in the panel needs a permission, which the server checks. Each role is given over everything, or over some groups or printers.
Audit log
Every change is written to it with its values before and after, secrets masked, and so are sign-ins and password changes.
Two-step verification
On Diwink Cloud, each account can add an authenticator app, and your organisation can require it. After 5 failed attempts, sign-in is locked for 15 minutes.
On every PC, even offline
The agent is the Windows service that holds each print job on the PC until it is decided.
An agent that is hard to get around
- Without administrator rights, an employee can neither stop nor uninstall it.
- After an abnormal stop, Windows restarts it after 15 seconds.
- It sets up each print queue so that every document waits for its decision; a queue it cannot secure is flagged in the panel.
- Alerts report a silent PC, a clock jump, and pages a printer counted that Diwink did not record.
When the connection is lost
- The PC keeps applying your rules, with the last ones it received and its share of the quotas. Its print jobs are sent once the connection is back.
- The rules are signed: the PC ignores a file that was changed.
- The PC’s clock is not trusted, and a clock jump raises an alert.
- By default, rules older than 7 days mean every print job is refused, and a person prints at most 50 pages a day offline.
- On a shared PC, only a person who signed in on it within the last 7 days can sign in offline.
On your side
An administrator of the PC can stop the agent: your employees must not be administrators of their PCs. Also restrict the printers’ network access to the PCs that print to them, and turn off the printing protocols nobody needs (WSD, IPP, e-mail printing).
Your data and the law
Exporting and deleting
- The history and the reports can be exported to Excel from the panel.
- Diwink Cloud keeps the print history according to your plan: 90 days on the Free plan (see Pricing).
- On request, Fikra Systems gives you a full copy of your organisation’s database, or deletes it, within 30 days; a deleted database leaves the backups 30 days later at the latest.
- A Free organisation with no activity at all is deleted after 90 days, following two warning e-mails; a copy of its database is kept for 90 days so that it can be restored.
- With Diwink Server, everything is on your server: you copy, keep or delete your data yourself.
Personal data and the GDPR
- Your employees’ names, e-mail addresses, Windows accounts and print history are personal data. For an organisation established in the European Economic Area, the GDPR applies to them.
- Your organisation is the controller. On Diwink Cloud, Fikra Systems processes them on its behalf, as a processor, under the data processing agreement. With Diwink Server, they stay on your server.
- The details are in our privacy policy.
